Management Committee

The management of the Pre-school is vested in a Committee consisting of:

President:

  • presides at committee meetings, works with the Secretary to prepare agendas, minutes, etc.
  • assists Treasurer to prepare budget and financial statements
  • co-ordinates activities of the committee
  • acts as liaison between staff and committee
  • communicates with Dept. Human Services on Kindergarten matters
  • acts as Grievance Officer in the Grievance Sub-committee

Vice-President / KPV Representative:

  • supports President in their duties when required
  • chairs meetings in the President’s absence
  • attends KPV meetings when called
  • advises Committee about KPV issues

Correspondence Secretary:

  • reports on incoming correspondence to committee
  • remits outgoing correspondence
  • communicates information to parents
  • displays posters, brochures, etc. notice board in foyer
  • maintains files ad records

Minutes Secretary:

  • prepares and distributes agenda one week prior to the relevant meeting
  • takes minutes and distributes shortly after the meeting

Treasurer:

  • ensures accounts are reconciled with each bank statement
  • prepares monthly financial statement to be presented at meetings
  • prepares an annual budget
  • monitors income and expenditure to ensure a balanced budget
  • prepares annual financial reports for auditing and presentation at the AGM

Assistant Treasurer:

  • arranges for payment of Kindergarten staff
  • ensures receipts are issued and recorded for monies coming in and going out
  • ensures income is banked promptly
  • ensures invoices are paid punctually
  • prepares and distributes Quarterly Superannuation Guarantee Contributions Report

Enrolment Officer:

  • records enrolment forms in order of receipt
  • issues receipts for any enrolment fees received
  • sends out offers of placement for the following year
  • liaises with Monash Council’s CES Officer

Extended Hours Officer:

  • collects, banks and receipts fees for extended hours
  • follows up any overdue payments.

Fees Officer:

  • sends out accounts for term fees
  • collects, banks and records fees and issues receipts to parents
  • follows up unpaid fees as per policy statement

Maintenance Officer:

  • receives reports of required maintenance from staff
  • purchases any supplies required to complete the tasks
  • prepares work schedule and co-ordinates working bees
  • opens and closes Pre-school at working bees
  • maintains a record of parents participating in working bees
  • schedules lawn-mowing roster.

Newsletter Editor:

  • notes regular items to be included in publication (e.g. term dates, social events, Directresses’ reports) compiles a list of other report items after each meeting (e.g. other diary dates, working bees, special mentions or requests)
  • prepares, copies, collates newsletter for distribution promptly after Committee each meeting

Group Representatives (3):

  • plans and co-ordinates approximately one social event per term
  • delegates tasks to Committee members assisting in organizing events

The Management Committee also organizes a number of social events throughout the year. These are for the whole family and are a lot of fun. A Bush Dance is held, usually at the end of Term 1, at the kindergarten as a ‘getting to know you’ function. A Sunday visit to Eltham Railway generally occurs later in the year followed by a Family Christmas Party held early in December.

Group Representatives are responsible for organizing social events within their own group. These usually take the form of Morning/Afternoon teas, lunches or dinners and help parents to communication with each other and foster friendships.
